Cashier Portal
The in-store tool for finding a customer, issuing points and confirming redemptions.
The Cashier Portal is the counter-side view of the loyalty programme. It is deliberately simple — staff need to find a customer and act in seconds, with a queue behind them.
Finding a Customer
Search by name or phone number. Open the result to see their record.
| Shown | Meaning |
|---|---|
| Current Tier | Their tier |
| Available Points | What they can spend now |
| Lifetime Points | Total ever earned |
| Joined | When they enrolled |
| Referral Code | Copyable, with a link |
Issuing Points
Find the customer.
Click Issue Points and enter the amount.
Add a note in Add any notes… — this becomes the description in Transactions, so make it useful.
Confirm. Depending on your settings this may go to Approvals first.
Redeeming a Reward
Open Available Rewards for Customer — this lists only what they can actually afford.
Choose the reward and Claim Reward.
Hand over the gift, or apply the discount.
Confirm the redemption so the points are deducted.
Confirm after the customer has what they came for, not before. Confirming first and then discovering the item is out of stock leaves them with neither the reward nor their points.
Coupon Codes
For a customer presenting a coupon:
Enter coupon code.
Apply the discount.
Mark as Used so the code cannot be reused.
Granting a Reward Directly
Assign Reward or Grant reward gives a reward without the customer spending points — for service recovery, or a goodwill gesture.
A granted reward after something went wrong is worth far more than the points it costs you. Give staff explicit permission to use this and a clear limit.
Registering a New Customer
Staff can enrol customers at the counter. The customer can also register themselves via the Customer Registration page link from Commands — a QR code at the till is the usual way to share it.
Self-registration is better wherever possible: fewer typos, and the customer's own consent, given by them.
Training Staff
Cover these five things and nothing else:
- Search by phone number — it is more reliable than by name
- Always note why when issuing points
- Confirm redemption only after handing over
- Mark coupon codes used, every time
- When unsure, issue nothing and ask — corrections are visible and awkward
